Reading the prompts: Every prompt in this guide follows the same pattern - name the folder or file set, state the rule or structure, then name the output format. That pattern is what makes Cowork reliable: keep it when you write your own versions.

Before you automate: work on copies for file-moving tasks (use cases 1, 12 and 14), review any drafted email before sending (use case 6), and spot-check totals in generated spreadsheets (use cases 3, 10 and 15) before you rely on them.

Use cases 1-2: Organize files, then turn notes into one report

FILE MANAGEMENT · BEGINNER · 2-5 MIN

1 Smart file organization

Sort, rename and organize files by type, date, project or any rule you give it.

COPY-READY PROMPT

Copy-ready text

Go through my Downloads folder and sort everything into subfolders - PDFs into
"Documents," images into "Images," and videos into "Videos." Add today's date
as a prefix to each renamed file.

DOCUMENT CREATION · INTERMEDIATE · 5-15 MIN

2 Document synthesis and reports

Pull information from several files into one formatted report.

COPY-READY PROMPT

Copy-ready text

Go through every meeting note in my "Meetings" folder from this month and put
together one summary document that captures the key decisions, action items,
and deadlines.

Make it yours: for #1, swap in your own folders and rules (by project, by client, by month). For #2, name the time period and the three things you want captured - decisions, actions, deadlines work for most recurring meetings.

Use cases 3-4: Spreadsheets that calculate, decks that structure themselves

DATA PROCESSING · INTERMEDIATE · 3-10 MIN

3 Excel spreadsheets with formulas

Spreadsheets with working formulas and formatting.

COPY-READY PROMPT

Copy-ready text

Set up an Excel spreadsheet to track my monthly spending. I need categories
for Food, Transport, Entertainment, Utilities, and Other, an amount column,
and formulas that total each category plus a grand total - formatted so it
looks professional.

DOCUMENT CREATION · INTERMEDIATE · 10-20 MIN

4 PowerPoint presentations

A complete deck: content, structure and formatting.

COPY-READY PROMPT

Copy-ready text

Build a 10-slide deck on remote work best practices - an intro slide, 7
content slides each with key points and examples, a summary slide, and a
closing Q&A slide, all in a professional blue color scheme.

Make it yours: in #3, list your real categories up front so the formulas match how you spend. In #4, give the slide count, the split between content and framing slides, and one colour scheme - the structure instruction is what keeps the deck coherent.

Use cases 5-6: Compile research, draft the follow-up

RESEARCH · ADVANCED · 15-30 MIN

5 Research compilation

Combine findings from several documents into one write-up.

COPY-READY PROMPT

Copy-ready text

Go through the five PDF research papers on AI trends in my "Research" folder
and write a summary that pulls out common themes, points of disagreement
between them, and key statistics - with citations.

COMMUNICATION · BEGINNER · 2-5 MIN

6 Email drafting

Draft replies and summarize threads through Gmail.

COPY-READY PROMPT

Copy-ready text

Look at the email thread on the Q4 project proposal and draft a professional
follow-up that recaps what was discussed and lays out proposed next steps -
concise but complete.

Make it yours: #5 works with any set of documents - ask explicitly for agreements, disagreements and statistics, and always ask for citations. For #6, the draft is a starting point: read it against the thread before sending.

Use cases 7-8: Walk into meetings prepared, merge messy data

PRODUCTIVITY · INTERMEDIATE · 5-15 MIN

7 Meeting preparation

Agendas, briefing docs and talking points from your files.

COPY-READY PROMPT

Copy-ready text

I have a client meeting tomorrow. Go through the files in my "ClientX" folder
and put together a briefing doc covering project status, recent updates, open
items, and a few suggested talking points.

DATA PROCESSING · INTERMEDIATE · 5-10 MIN

8 Data cleanup

Clean, merge and standardize data files.

COPY-READY PROMPT

Copy-ready text

I've got 5 CSV files, one per sales region. Merge them into one file,
standardize every date to YYYY-MM-DD, strip out duplicate entries, and sort
the result by date.

Make it yours: for #7, run it the day before, not the morning of, so you can act on open items. For #8, state the standard format explicitly (dates, names, currencies) - "clean it up" alone produces inconsistent results.

Use cases 9-10: Draft content, build the expense report

DOCUMENT CREATION · BEGINNER · 5-10 MIN

9 Content writing

Blog posts, product descriptions, documentation, marketing copy.

COPY-READY PROMPT

Copy-ready text

Write a roughly 1,000-word blog post on the benefits of AI assistants in the
workplace - an intro, four main points with examples, and a conclusion - saved
as a formatted Word document.

DATA PROCESSING · INTERMEDIATE · 10-20 MIN

10 Financial tracking

Budgets, expense categories, invoice processing.

COPY-READY PROMPT

Copy-ready text

Go through the receipts and bank statements in my "Finances" folder for
January and build a detailed expense report broken down by category
(groceries, utilities, entertainment, etc.), with totals and a pie chart.

Make it yours: in #9, the word count, structure and output format do the heavy lifting - change all three to fit the piece you need. In #10, name the month and the folder; check category totals against one statement before filing the report.

Use cases 11-12: Document the code, process files in bulk

DEVELOPMENT · ADVANCED · 10-15 MIN

11 Code documentation

READMEs, API docs and changelogs through GitHub.

COPY-READY PROMPT

Copy-ready text

Take a look at my GitHub repo at [repo-url] and write a full README.md -
project description, install instructions, usage examples, and contribution
guidelines.

FILE MANAGEMENT · BEGINNER · 2-5 MIN

12 Batch file processing

The same operation across hundreds of files.

COPY-READY PROMPT

Copy-ready text

Rename all 50 photos in my "Vacation" folder as "Hawaii_2024_001.jpg,"
"Hawaii_2024_002.jpg," and so on, and move any videos into a separate "Videos"
subfolder.

Make it yours: for #11, replace [repo-url] with your repository link and list the README sections you expect. For #12, give two example filenames exactly as you want them - the numbering pattern is copied from your examples.

Use cases 13-15: Reusable templates, tidy Drive, structured data

DOCUMENT CREATION · INTERMEDIATE · 5-10 MIN

13 Template creation

Reusable invoices, reports, proposals and contracts.

COPY-READY PROMPT

Copy-ready text

Build a print-ready invoice template in Excel - my business name, client info
fields, a line-items table (quantity / price / total), subtotal, tax
calculation, and grand total.

FILE MANAGEMENT · INTERMEDIATE · 5-15 MIN

14 Google Drive management

Organize, download and sync Drive files.

COPY-READY PROMPT

Copy-ready text

Pull everything from my "Work Projects" folder in Google Drive, sort it into
local folders by project name, and create an index document listing each file
and where it landed.

RESEARCH · INTERMEDIATE · 5-15 MIN

15 Data extraction from documents

Pull specific details out of documents into a structured sheet.

COPY-READY PROMPT

Copy-ready text

Go through every PDF invoice in my "Invoices" folder and build an Excel sheet
with columns for vendor name, invoice number, date, amount, and status -
sorted by date.

Start with one beginner win, then build the habit

The fastest way to trust Cowork is a small, reversible task. Four of the 15 use cases are rated Beginner and finish in about ten minutes or less: smart file organization (#1), email drafting (#6), content writing (#9) and batch file processing (#12). Run one on a copied folder, compare the result with what you asked for, and adjust the prompt wording - that loop teaches you more than reading about it.

Prompt habits that work across all 15

  • Name the input: a folder, a thread, a repo URL - never "my files" in general.
  • State the rule: the sort order, date format, categories or slide structure.
  • Name the output: Word document, Excel sheet, summary document, index file.
  • Ask for the checkable parts: totals, citations, an index of what moved where.
  • Review before you rely: drafts, totals and moved files all get one human pass.

Quick-start checklist

  • [ ] Pick one Beginner use case (#1, #6, #9 or #12)
  • [ ] Copy the target folder so the first run is reversible
  • [ ] Paste the prompt and swap in your folder names and rules
  • [ ] Check the output against the originals
  • [ ] Save your edited prompt - it is now your personal template
  • [ ] Move up to an Intermediate case (#2, #3, #7 or #15)

One prompt a week: Add one new use case to your routine each week and you will have worked through most of this guide in a month - with a library of prompts already tuned to your folders and formats.
